An appointment in Yardo isn't just a calendar entry. It's a live operational record that tracks the truck from booking through check-in, dock work, and completion — with every status change visible to your whole team in real time.

Key Insight
Every appointment carries a full lifecycle. Scheduled → Checked In → In Progress → Work Complete → Closed. Your team sees exactly where each truck is at any moment — no radio calls, no guessing.
Create Appointments
Set the carrier, reference numbers, time window, expected door, and any instructions or notes. Facility staff can schedule directly or approve carrier-submitted bookings.
Reschedule & Cancel
Move appointments to new time slots with a reason captured. Cancel with a note. Carriers are notified automatically through their portal so there's no manual communication needed.
Attach Documents
Required documents — bills of lading, insurance certs, hazmat declarations — can be attached directly to an appointment and reviewed before the truck arrives.
Message on the Appointment

Arrivals Queue &
Exception Control

The arrivals queue is your gate team's control panel. Every driver who checks in appears here in real time — with their appointment details, status, and any flags that need attention. Your gate team acts from this screen, not from radio calls or clipboards.

Real-Time Arrivals Feed
The moment a driver checks in — by link, QR, or kiosk — they appear in the queue. No delay, no manual entry. Your gate team sees them before they reach the booth.
Door Assignment
Assign any available door to an arriving truck directly from the queue. The driver's appointment updates instantly, and the dock status board reflects the change.
Release to Dock
Once a door is assigned and the truck is cleared, gate staff release the truck to dock with one action. The dock team is immediately notified on the status board.
Holds
Place a hold on any truck that isn't ready to be released — missing paperwork, early arrival, capacity not ready. Holds prevent the truck from cluttering the dock queue until you're ready to deal with it.

Carrier Directory

You decide which carriers can book at your facility, under what conditions, and how much control they have once they're in. Yardo's access policy system gives you a spectrum of options — from open self-scheduling to fully locked-down invite-only booking — per location.

A searchable directory of all carriers who have booked at or requested access to your locations. See their status, access tier, and booking history at a glance.
Access Requests
When a new carrier requests access to your facility, you review and approve or deny them. Approved carriers are added to your directory and can begin booking according to your policy.

Document Requirements
That Actually Work

Stop chasing carriers for paperwork on the day of delivery. Define what documents are required, when they're due, and let Yardo enforce it. Missing documents become visible exceptions before the truck ever pulls up to the gate.

Each facility location can have its own document requirements. Tailor what's needed for a cross-dock versus a temperature-controlled facility without any crossover.

Some documents must be uploaded when the carrier books the appointment. If they don't upload, the booking isn't complete. No surprises on arrival day.
